  About the Course

Achieving work/life balance is one of the greatest challenges in today’s work environment. The fundamental key to realising this goal is the effective management of workflow, time and processes in both of these quadrants.

The course will take you through a journey in time, identifying where you are now, where you want to be, and most importantly how to get there. This comprehensive day will bring to light proven methodologies for realistic goal setting, results-based planning and simple techniques to take your personal productivity and effectiveness to a higher level.

Key focus is placed on how to actualise expected returns on investment of time through cost / benefit analysis and the effort versus outcome equation.

The course caters for all levels of responsibility within the typical work environment.

Delegates will be offered an opportunity to share problematic situations with a view to solving productivity issues for the long term, through active discussion and learning how to develop new habits and break old ones. Simple, practical and effective ‘take home’ tools will assist individuals in the development of effective time management and organisation skills.

Experience the gratification of being able to shut down your computer at the end of each day knowing you have achieved everything you planned and start tomorrow with a clean slate.


Requirements Before the Course

  • 1) Log how you spend your time for at least 3 days before attending the course. This will assist you in identifying and analysing where your time is spent, and develop strategies for becoming more productive

  • 2) Bring a copy of your job description or typical daily tasks to facilitate exercises and use as live case studies during the masterclass

Goal & Task/Workflow Setting

Learn how to set realistic and achievable goals to ensure you meet or exceed the standards of expectation for every task. Real life examples of daily tasks and goals will be used to highlight the different factors requiring consideration in order to ensure tasks are achievable.

• Use live examples of tasks that need to be achieved in a typical day as a working model
• Identify factors which have the potential to affect the achievement of tasks, e.g. technology, tools, support, reliance on others
• Identify the importance and benefit of breaking down tasks
• Ensure we are not setting ourselves up for failure by setting unrealistic deadlines or self imposed timelines

Exercise: Use a snapshot of a typical day to analyse how realistic our expectations are in context to what we would like to achieve.

Discussion: Typical problems associated with task completion based on individual snapshots.

Planning & Workflow Organisation

Review and put into practice the process of planning through segmentation of tasks into organised time periods – e.g. daily, weekly and monthly. Learn how to effectively manage components of time to develop critical paths and doable ‘To Do Lists”.
• Identify the traits of and managing ‘disorganised’ individuals
• What do we need to do to become more organised
• Learn how to break tasks down to its simplest form
• Risk manage for the unexpected in your planning

Exercise: Identify tasks and the frequency required for completion from individual job descriptions. Complete a typical critical path by starting at the lowest denomination. Build a workable plan that provides organised structure to each day.

Discussion: Address obstacles to planning and how to plan for
the unexpected.

Prioritising

Learn to differentiate what is IMPORTANT versus what is URGENT. Look at ways to make sure we are investing time in doing things that give us the desired outcome in the time required. We are easily swayed or distracted by pressure, tasks and/or people who insist on being made a priority. Become proficient categorising tasks effectively to ensure we complete them on time and in order of importance.
• Understand how effective prioritisation determines our productivity and quality of our work
• Use the PRIORITY MATRIX to determine the order of tasks
• Explore the 4 quadrants in task allocation based on Important vs. Urgent

Exercise: Develop a scenario to apply the principles of
prioritisation for discussion and debate
Breaking Habits

A critical factor in effective time management is the identification of our own behaviour and habits. We identify the typical habits, which sabotage our efforts to become more productive and time efficient. In doing so, we identify ways of breaking bad habits and creating good alternatives.
• Highlight procrastination techniques that we may or may not be aware of
• Look at different ways of overcoming procrastination
• Identify typical time wasters
• Learn how to say ‘no’
• Eliminate unnecessary distractions
• Application of the 80/20 rule

Discussion: Identify the habits of highly effective people and how we can incorporate specific traits in our own behaviour.

Making it Work
Develop an action plan incorporating all the factors that assist us in becoming highly effective, more productive and better organised on both a professional and personal level. Learn how to monitor your own performance against set tasks over a period of a week and accelerate the learning process through self-analysis.
• A simple five day action plan
• Face recurring habits which prevent you from achieving what you want each day
• Workable solutions for gradual improvement and sustained results

 
  About the Course Director
Janet Leung

Janet Leung’s diverse experience in management and communication began over 20 years ago with a Bachelor of Commerce Major in Accounting Finance and Information Systems, providing a solid base and strong grounding for future senior management roles.

The defining stage of Janet’s career development was with Kellogg’s Australia, as a Management Accountant responsible for financial forecasting and formulation of annual budgets for the Australian subsidiary. The position provided the opportunity to liaise with all departments, demanding a comprehensive understanding of their specific functions and the skill to effectively communicate at all levels in a typical corporate hierarchy.

The diversity of skills acquired at Kellogg’s helped greatly in subsequently steering her towards the path of general management and more specifically in the practicalities of human resource management and training in the SME sector, which she has since been involved.

Over the last 10 years, Janet has worked predominantly in the health and leisure industries, from domestic operators to globally listed corporations, with a focus on the implementation and delivery of quality succession planning programmes to support the aggressive growth of global health club chains in Australia.

Subsequently, Janet has started her own company providing management consulting, staff training and resource education services. Janet’s most recent postings include management of organisational restructures, review and preparation of business readiness for growth and/or sale.
